Privacy policy
Usual Rounds, the round app for doorstep sole traders. Last updated 17 October 2026.
Who we are
Usual Rounds is run by Kire Labs Ltd, a company registered in England and Wales, company number [to fill in: company number], 8 Kings Avenue, Langley Park, Durham DH7 9QH. We are the controller of the details this policy describes, except where it says the trader is.
Email support@getusual.co.uk.
Whose details
Traders, who use the app, and their customers, whose details traders keep in it.
For a trader's own account, we decide how the details are used. For the customers in a trader's round, the trader decides: we keep those details for the trader and use them only to run the app for them. For those details we are the trader's processor.
What we keep about traders
Your name and email
From your Google account when you sign in, with the account's identifier, which Google gives us so we know it is you next time. We never see your Google password.
Your round
Your trade, your round days, your town and the wording of your messages.
Your bank details
The sort code, account number and reference you add, so your chase messages can carry them. Nothing connects to your bank.
Your payment accounts
If you connect your own Stripe or GoCardless: the account's id, and for GoCardless an access token, kept encrypted.
Your plan
Whether you subscribe, and when your subscription renews or ended. Google Play takes the payment; we never see your card.
Sign-in and server records
Your sign-in sessions. A record of each change your phone sends us (its kind, when, and whether it was applied, not its contents), kept 90 days so a change sent twice is applied once. Our server's host keeps a record of each request, which can include its internet address, for up to 7 days, and counts sign-in attempts from each address to stop abuse.
What we keep for traders about their customers
What the trader enters or imports: each customer's name, address, postcode and phone number, how they pay, the price, how often they are visited, and access notes such as a gate code. Then the visits done, the payments recorded and the messages sent: when, and whether by WhatsApp or text, not the words.
Messages go from the trader's own phone. We send no texts and keep no message wording beyond the trader's own templates.
Photos of a round book
When you photograph your round book, the photo is sent to Anthropic, whose Claude model reads the names, streets and prices for you to check. We don't keep the photo.
Anthropic's terms for businesses using its service say it does not use the photo to train its models unless the business agrees, and deletes it within 30 days, except where it must keep it longer to enforce its usage policy or to comply with the law.
Bank statements
When you check who's paid, the statement file you downloaded is read on your phone. It is not sent to us; only the payments you then record are.
Why we use it
To run the app you signed up for: keeping your round, syncing it between your phone and our server, reading your book, and collecting payments on your own accounts. That is our contract with you.
To keep the service secure and stop abuse, which is our legitimate interest.
Customers' details are used only on the trader's instructions, to run the trader's round.
We sell nothing about anyone, show no adverts and use no tracking. This site sets no cookies.
Who else handles it
Cloudflare
Runs our server, our database and this site. We ask for the database to be kept in Western Europe.
Sign-in with your Google account, and the £9 a month plus VAT subscription through Google Play.
Anthropic
Reads photos of your round book. The photo is not kept by us.
Stripe
Card payment links, on your own Stripe account, if you connect one. We send Stripe your email to set the account up, and amounts with our own reference numbers.
GoCardless
Direct Debit, on your own GoCardless account, if you connect one. We send amounts and our own reference numbers; your customers give their bank details to GoCardless, not to us.
Stripe and GoCardless are also controllers of the payment details they collect, under their own privacy policies. Some of these companies are based outside the UK; where details leave the UK, the transfer is covered by UK adequacy regulations or the contract clauses the ICO approves.
How long we keep it
While your account is open. To delete it, open More in the app and tap Delete my account: your account, your round and your customers' details are deleted there and then, on your phone and on our server.
If you no longer have the app, email us at the address above: we delete it all by hand, within 30 days of your request, and tell you when it is done.
After that, our database's own history keeps a copy for up to 30 days more. We keep our backups encrypted, and delete each one after 90 days.
We keep a record that an account was deleted, and the date: a one-way code made from the account's internal number, and nothing that names you. It is kept in our database for six years, the usual time limit for bringing a claim, so we can show the deletion was done if it is ever questioned in a claim. That is our legitimate interest.
Your Stripe and GoCardless accounts are yours: deleting Usual Rounds does not close them, and what they hold is kept under their own policies. When you delete your account we ask GoCardless to cancel our access to yours, and we cancel your Google Play subscription to Usual Rounds: you keep it until the end of the time you have paid for, and we do not refund it. Google keeps its own records of the purchase.
You can export your customers as a CSV file from the app at any time. For a copy of anything else we keep, email us.
Your rights
Under UK GDPR you can ask for a copy of your details, ask us to correct or delete them, object to or limit how we use them, and take them elsewhere. Email us at the address above; we answer within one month.
If you are a trader's customer, ask the trader first: they decide what is kept about you. You can also ask us and we will pass your request on.
If you are unhappy with our answer you can complain to the Information Commissioner's Office.
Children
Usual Rounds is for people running a business. It is not for children.
Changes
When this policy changes, the date at the top changes too.
